Setting up Stripe

With Stripe you accept credit cards, Apple Pay and Google Pay in your booking widget and on every payment link BedFlow sends. You don't need any technical knowledge for it, just half an hour and your company details at hand.

One card provider at a time. Per property you choose either Stripe or Mollie, not both. Bancontact / WERO can stay active alongside either one. Not sure which to pick? Read Setting up Mollie.

What Stripe asks when you sign up (and what you fill in)

During registration, Stripe asks a series of questions to get to know your business. This is mandatory at every payment institution in Europe. Here is what they mean:

Business type Sole proprietorship or company, as registered with the Crossroads Bank for Enterprises (KBO). Registering as an individual is possible too, but lower limits then apply
Company number / VAT number Your KBO number (BE 0xxx.xxx.xxx)
What do you sell? (industry) Travel & lodging → Hotels, inns & resorts (or Vacation rentals for a holiday home)
Product description One sentence is enough: "Rental of holiday accommodation with overnight stays, payment of deposit and balance."
Website The URL of your BedFlow site or your own website
Bank account (IBAN) Where Stripe pays out your revenue
Statement descriptor The name the guest sees on their card statement. Use the name of your accommodation here, not your company name, otherwise you'll get unnecessary disputes
Identity check (KYC) A photo of your eID or passport + a selfie. Required by law, done in the browser and takes a few minutes

You don't need a test environment. Every Stripe account has a test mode, but that is meant for developers. Simply enter your real details and complete the activation; your account is then in live mode and you receive real payments straight away.

Along the way, Stripe may ask for additional proof (a KBO extract, a bank certificate). That is normal and does not hold up the sign-up. You can carry on with the connection below in the meantime; only the payouts wait until the check is complete.

Connecting Stripe to BedFlow

You paste three values from your Stripe dashboard into BedFlow. Once your Stripe account is active:

  1. Get the keys. Stripe dashboard → Developers → API keys. Set the switch at the top right to live (not test) and copy:
    • Publishable key: starts with pk_live_
    • Secret key: starts with sk_live_ (click "Reveal"; it is shown in full only once)
  2. Create the webhook. Stripe dashboard → Developers → Webhooks → Add endpoint:
    • URL: https://bedflow.eu/webhooks/stripe-payment (BedFlow shows the same URL in the field Webhook URL (copy this to Stripe))
    • Events: checkout.session.completed, payment_intent.succeeded and payment_intent.payment_failed
    • Then copy the Signing secret: it starts with whsec_
  3. Fill them in in BedFlow. Go to Settings → Integrations, category Payments, and click Configure on the Stripe tile. Switch on Enable Stripe and paste the three values into 1. Publishable key, 2. Secret key and 3. Webhook secret. Click Save.

The tile stays on Setup incomplete as long as the Publishable key or the Secret key is missing. Only when it switches to Connected can a guest actually pay with it.

The webhook is the piece that tells BedFlow that a payment has been made. Without a webhook secret the guest does pay, but on your side their booking stays on "awaiting payment". The tile warns you about this too.

Checking that it works

Make a test booking on your own booking page for a small amount and pay it with a real card. You should then see:

  • the payment in your Stripe dashboard under Payments;
  • the same payment in BedFlow under Daily → Payments, within a few seconds;
  • the booking marking itself as paid, and the confirmation email going out.

If the booking stays on "awaiting payment" while Stripe does show the money, the error is almost always in step 2: a wrong URL, a missing event, or the signing secret of a different endpoint. Under Webhooks in Stripe you can see for each attempt whether it got a 200 back.

You can then simply refund the amount from Stripe.

What does it cost?

For each successful payment, Stripe charges a fee that depends on the card type and the card's country; cards from outside Europe and Amex cost more. Check the current rates on Stripe's website. BedFlow adds nothing on top: you connect your own Stripe account and the money goes straight to your bank account.

Frequently asked questions

Can I switch from Stripe to Mollie? Yes. On the Stripe tile, switch off Enable Stripe and save, then switch on Mollie. See Setting up Mollie.

Can I charge the balance of a Booking.com guest to their card? Yes, at check-out, for bookings that came in through a channel, provided your own Stripe account is connected and the card from the channel was stored at Stripe.
