What makes BedFlow unique? — The WhatsApp-first guest flow
Updated on 2026-10-01
Other systems think in bookings, rooms and invoices. BedFlow also thinks in conversations. A stay begins long before check-in, and your relationship with your guest is more than a transaction.
That's why BedFlow is built around two ideas:
- WhatsApp as the first channel: your guest reaches you on the channel they use every day, from the first question until after they leave.
- The guest page: a personal page for every stay, which you set up yourself.
Together they form the guest flow: one continuous line from the first question to check-out.
WhatsApp as the first channel
An email often goes unread; a WhatsApp message is usually opened quickly. For the kind of contact that comes with accommodation (a quick confirmation, a question about the arrival time, a small change) that makes a big difference.
| Moment | What happens |
|---|---|
| Before the booking | A guest sends a WhatsApp message with a question to your number. The message arrives in Daily → Messages, labelled Enquiry as long as no booking is attached to it yet. That way every contact lands in one place. |
| At booking | A guest who books directly immediately receives a confirmation email in your branding and in their own language. |
| Two days before arrival | A message with the practical information and a short link to their personal guest page, where they complete their details and let you know their arrival time. |
| Arrival day | A welcome message via WhatsApp. |
| During the stay | The guest asks for what they need via WhatsApp. The replies sit in the same inbox, next to the Booking.com and Airbnb chat (with the OTA guest messages add-on). |
| After departure | An automated email asks for a review, with a button and a QR code linking to your own review link. |
You decide which messages go out when, and what they say, under Management → Messages. See Guest journey overview and WhatsApp templates.
If a guest doesn't have WhatsApp, BedFlow shows you, and you can enter another number or reply by email.
BedFlow works with TextMeFlow: our own European WhatsApp service, included free of charge from the Starter plan. You connect your own WhatsApp number by scanning a single QR code. It also works with TextMeBot, an external service with its own subscription. You set up either one under Settings → Integrations → Communication → WhatsApp. See WhatsApp via TextMeFlow.
The guest page
During their stay, every guest has a personal web page on a unique link. No app to install, no account to create: just a link in their WhatsApp or email.
On that page they'll find, among other things:
- their stay: room, dates and what is still outstanding on their invoice;
- the breakfast choice for each day, within your breakfast times (not for a property without breakfast);
- opening the door with their phone, if you've connected smart locks;
- the honesty bar: marking drinks and snacks, which are added to their bill;
- booking wellness, if you offer wellness;
- your house rules, practical information, restaurant tips and contact details;
- paying their outstanding balance online.

Setting up your guest page yourself
Management → Guest page
In the editor you decide what your guests see:
- Sections and order: put the fixed sections (information, booking details, invoice, honesty bar, wellness, restaurants) in the order you want.
- Your own sections: add sections with your own title, text and attachments, e.g. "Walking routes nearby".
- Restaurants: your tips, with cuisine, website and closing days.
- Languages: BedFlow automatically translates your texts into English, French, German, Spanish and Italian. The guest sees their own language.
- Mobile preview: next to the editor you see the page as a guest sees it on their phone.
- Per property: if you have several properties, each property has its own guest page.
Your logo and colours come from Settings → My property, section Branding. See Guest page editor.
The guest page is included in the Starter plan and higher.
Why this matters
Large systems focus mainly on distribution (as many channels as possible) and reporting. For a B&B or a small hotel, the relationship with the guest is the real product. A personal welcome message, a tip on the guest page, a quick reply via WhatsApp: that's what earns good reviews.
BedFlow automates the repetitive work, so you have time for the personal contact.
Getting started
- Connect WhatsApp under Settings → Integrations → Communication → WhatsApp (guide).
- Set up your guest page under Management → Guest page (guide).
- Create a test booking and look at your guest page yourself via the link in the message.
The full step-by-step plan for a new account is under Daily → Getting started: see The step-by-step plan.
Questions? Email support@bedflow.eu or book a free call. As long as your step-by-step plan isn't finished, the button for an onboarding call is also shown at the top of every page in BedFlow.
