Telegram notifications per property

BedFlow notifies you via Telegram as soon as something happens with your property: a new booking, a payment, a guest asking for a different arrival time. You approve or decline an arrival time directly in Telegram, with a single tap.
How to set up Telegram is explained in Setting up Telegram, step by step. Rather not do it yourself? Email support@bedflow.eu and we'll set up your channel.
Which notifications do you get?
Among others:
| Group | Notifications |
|---|---|
| Bookings | New booking (with all rooms, guests and amount), booking changed, booking cancelled, check-in, check-out, quote viewed for the first time, guest unreachable through the channel |
| Payments | Payment received (online and manually recorded), payment failed, Bancontact QR, gift voucher sold, Bar QR sale |
| Wellness | New wellness booking, paid, expired, completed, balance reminder (if you offer wellness) |
| Your guests | Arrival time passed on or requested, breakfast choices, honesty bar (including corrections by the guest) |
| Other | Unpaid booking expired, invoice changes, submitted cleaning checklist, Statbel export (Belgium) |
Approving a different arrival time
Does a guest ask for an arrival time outside your normal check-in times, via their guest page or when booking (e.g. via Booking.com)? Then you get a notification with the buttons Approve and Decline. After your tap, the guest automatically gets a reply in their language, via the channel's chat or by email. In Telegram you can see which route was used.
You don't need to approve a time within your normal check-in times: BedFlow confirms it to the guest straight away and you get a notification for your information. See The guest page — Requesting a check-in time.
Notifications only go to your own property's channel
Notifications about your property go exclusively to the Telegram channel that belongs to that property. They never end up in a shared or general channel. That way your guests' details end up nowhere but with you.
No Telegram set up?
Telegram isn't mandatory. Without a channel:
- Requests for an arrival time (and the notifications about an arrival time passed on) arrive by email at your property's Contact email (Settings → My property → Location & contact), or otherwise at the owner's address. That email has no buttons: you decide in BedFlow. Open the booking, click Edit and, in the Arrival request section, set Request status to Approved or Denied. The guest then doesn't get an automatic reply: let them know yourself, for example via Daily → Messages.
- All other notifications (bookings, payments, wellness, …) are not sent by email. You see them in BedFlow itself, and as a push notification in the BedFlow app on your phone if you use it. See The BedFlow app.
Frequently asked questions
I used to get notifications, but not any more. How come? They probably came in via a shared channel. That is no longer possible, to protect your guests' details. Set up your own channel or email support.
Can I share the notifications with several people? Yes. The channel can be a Telegram group: everyone in the group sees the same notifications, and anyone can approve an arrival time.
I have several properties. Each property gets its own channel. If you want everything in one group, enter the same chat ID for each property.
Do I also get a notification when a guest sends a new message? Not via Telegram. You see new guest messages in Daily → Messages, with a push notification in your browser or in the BedFlow app. See Guest messages.
