Room types with several rooms
Updated on 2026-10-01
If you have several rooms of the same type — a hotel with 27 identical double rooms and 3 suites — you don't want your guest to see 27 cards "Room 201 … 227". With Group room types, your booking page shows one card per type with "3 left", the guest chooses how many rooms they want, and BedFlow assigns the room according to the rule you set.
Without this setting nothing changes: one card per room, as always. So for a B&B with five different rooms or a holiday home, there's nothing you need to do here.
Setting it up
- Go to Settings → My property, section Booking widget behaviour (per-property override).
- Switch on Group room types in the widget.
- Under Assign a room when booking, choose how BedFlow picks a room (see below).
- Open each room type (Settings → Room types → edit) and on the Basics tab, section Rooms of this type, fill in the Floor for each room and optionally a Custom order. Leaving them empty is fine: they then have no effect.
From then on, the booking page shows one card per room type. The card carries the name of the room type (not the room number), the photos of the type and the lowest price of the available rooms.
The five assignment rules
| Rule | What BedFlow does |
|---|---|
| Custom order | The order you set yourself per room (1 = first). Without an order: the room number, lowest first. |
| Evenly | The available room that was booked least over the past year — spreading wear and cleaning across all rooms. |
| Random | A random available room of the type. |
| Fill floor by floor (floor per room required) | First the lowest floor fills up, then the next one. Short walks for housekeeping; on quiet days the higher floors stay closed. Requires a floor per room. |
| Spread across floors (floor per room required) | The floor with the fewest guests that night, and evenly within it. Quieter for the guest. Requires a floor per room. |
Each rule only works on rooms that are available, meet the restrictions, are large enough for the guests and have the price the guest saw on the card. If one room of the type has a higher price (a calendar override), the guest isn't assigned that room: they never pay more than what they saw.
What the guest sees
- One card per room type with "3 left" (red for 1 or 2, otherwise green). The number is the minimum over all the nights of the stay.
- After selecting, a counter Number of rooms of this type, limited to what's available. With two or more rooms, the number of adults applies per room.
- The type's rate options are simply shown on the type card.
- A line "The hotel assigns your room when you book. The room number is in your confirmation."
The confirmation email, the proforma and the guest portal show the assigned room with its own name — so give your rooms their number as the public name (201, 202, …) and give the room type the name the guest chooses (Trendy, Suite).
In the room grid
With the setting switched on, the grid under Daily → Availability (Timeline view) gets a grey group row above the rooms for each room type, with a free / total chip for each day (green with 3 or more free, orange with 1 or 2, red when full). Click a chip to book a room of that type on that day: BedFlow opens the Create new booking… window on the first available room. Use the arrow to collapse a type: the room rows disappear, the group row stays. That way you see a hotel with thirty rooms as three lines. At the bottom, an Occupancy per day row counts the percentage of booked rooms. BedFlow remembers per user which types are collapsed. Room types with a single room don't get a group row; without the setting, the grid doesn't change.
On the booking
On the booking's detail page (Daily → Bookings → view booking), each automatically assigned room shows Assignment: Assigned automatically (evenly) (or the rule you chose). Want to give the guest a different room? Click Switch room at the top: you get the rooms of the same type with "free" or "occupied" and the floor. Moving within the type changes nothing about the price, the rate option or the emails, only the room number. To move to a room of a different type, use Move to room in the bookings list; the price then also stays unchanged. See Changing, moving and printing bookings.
The room type form
With the setting switched on, the occupancy, price, meal plan, cancellation policy and changeover times of the room type apply to all rooms of the type. If you save the room type while rooms differed from each other, BedFlow tells you how many rooms were brought into line. Name, public name, active and the connection with your channels remain per room.
Frequently asked questions
Two rooms of the same type in one booking? Possible. The guest sets the counter to 2 and BedFlow assigns two different rooms in one go. If in the meantime only one is still available, the booking doesn't go through and the guest is told so: never a half booking.
What about Booking.com and the other channels? Nothing changes there. Each room remains connected to your channels separately, as before.
I don't see the "Rooms of this type" section. It only appears once Group room types is switched on for your property.
Chose a floor rule but haven't filled in any floors? Then the rule works like "custom order". Rooms without a floor come last.
