What do I do after the migration?

Your BedFlow is up and running. What now?
Your data is in BedFlow. Before you switch over for good, check a few things and set up a few integrations. The step-by-step plan under Daily → Getting started shows what is still open. See The step-by-step plan.
Straight after the migration (15 minutes)
1. Test your most important bookings
Open Daily → Bookings and pick three to five bookings you know well. Check:
- Is the guest's name correct?
- Are the arrival and departure dates correct?
- Are the amount and the payment status correct?
- Are the extras there (breakfast, wellness, parking)?
If something looks wrong, take a screenshot and create a support ticket. An error in the import is a bug, and we fix bugs for free.
Does a transferred booking not have an invoice yet? Choose Create proforma on the booking. If the guest then pays online, the payment is booked against that proforma.
2. Check your rooms
Open Settings → Room types and go through your rooms one by one:
- Are the names correct?
- Are the photos there?
- Are the rates per weekday correct?
- Is the capacity (adults and children) correct?
3. Switch on online payments
For payments via your booking module and your guest page, connect a payment provider under Settings → Integrations, category Payments: Stripe, Mollie or Bancontact, or bank transfer.
Then test with a small real payment: book yourself one night via your own booking page. Using Stripe for the first time? Follow Setting up Stripe.
The first week (an hour, spread out)
Your own web address
Your booking page and your website can be on your own domain name (e.g. yourbb.com), with a secure certificate that BedFlow arranges itself. You set this up under Settings → My property, section Website & booking page, button Set up web address. See Setting up your own web address.
Connecting your channels (Booking.com, Airbnb, Expedia)
If you want to manage your channels via BedFlow:
- Open Settings → Integrations, category Channels, and choose your channel's tile.
- Enter your hotel ID and request the connection. BedFlow creates your property at the channel manager (Channex) itself and prepares your rooms.
- Accept the connection in your channel's extranet and then check the room mapping in BedFlow.
After that, rates and availability flow in both directions. See Connecting Booking.com.
Bring in your existing reservations before you switch a channel over, so that no bookings fall through the cracks.
Connecting your accounting
If you want to send your invoices to your accountant automatically, open Settings → Integrations, category Accounting: Yuki, Billit, Octopus or ClearFacts. You connect Octopus with the Connect with Octopus button, without sharing your password. Only final invoices are included.
Decisions
The parallel phase: yes or no?
If you keep working in MyTourist for a while, a webhook ensures that new bookings from MyTourist also arrive in BedFlow. See Parallel phase with webhooks.
When do you cancel your old system?
Our recommendation:
- Weeks 1-2: you still work in your old system and test BedFlow.
- Weeks 3-4: you put BedFlow's booking module on your website.
- Week 5 onwards: BedFlow is your main system.
- Months 3-4: you are certain everything works and cancel your old subscription.
There is no rush.
Frequently asked questions
Not all my old invoices are in BedFlow. Create a ticket and state from which date you need them. We'll see whether we can repeat the import.
The photos are of lower quality than in my old system. We fetch the largest version your old system offers. If you have better photos, upload them in Settings → Room types, Photos tab.
The translations of my room descriptions are missing. Create a ticket and we'll see whether we can still transfer them. You can also fill them in yourself in Settings → Room types, Translations tab.
I want to go back to MyTourist. No problem. If you are still in your free trial, you pay nothing. You cancel yourself in My subscription & invoices: your subscription runs until the end of the paid period (the current quarter, or the year for Seizoen) and then stops automatically. You take your invoices with you as PDF and UBL: select them in Daily → Invoices and choose Download PDFs & UBLs (zip) from the bulk actions. You download your account data via Settings → Privacy.
