Migrating from Hostaway
Updated on 2026-10-01
Management → Import → Hostaway migration tile
At a glance
Are you currently using Hostaway? Then you can move your listings, reservations and calendar to BedFlow in one go. Click Start Hostaway migration on the tile: the wizard opens. The import is read-only: we fetch your data via Hostaway's official API and change nothing there.
What do we transfer?
| Item | Exactly what |
|---|---|
| Listings | Per property: room types, rooms, descriptions and photos |
| Reservations | Arrival, departure, price, status and guest, including the channel through which they came in (Booking.com, Airbnb, Vrbo …). You choose future only or the full history |
| Availability | The calendar per listing, history and future |
BedFlow creates your guests automatically from your reservations, without duplicates (by email address). Invoices are not transferred: your invoicing in BedFlow starts fresh after the switch.
Important: one moment of switching over
BedFlow does not keep an ongoing synchronisation with Hostaway. The migration is a one-off import: you choose a moment, import up to that point, and then switch your channels over to BedFlow. From that moment on, every new booking comes into BedFlow, with no double administration.
The steps of the wizard
- Welcome: fill in the name of your property and choose the type (holiday home, B&B or hotel).
- Connect: enter your Account ID and API Key. You'll find them in Hostaway under Settings → Hostaway API, where you can also create an API Key. We use them once to read and discard them after the import.
- Preview: a trial run. We count your listings and reservations, so you know in advance what will come in. Nothing is migrated yet.
- Group: combine your listings into one property with rooms. Switch on Treat units as separate rooms if a listing has several rentable units.
- Selection: choose what to transfer and click Start the import.
- Import: the import runs in the background. You can close the tab.
- Done: check your rooms, photos, future reservations and calendar in BedFlow.
Then: switch channels over one by one
A channel such as Booking.com or Airbnb can only be connected to one channel manager at a time. After the import, that is still Hostaway. So switch your channels over one by one, never all at once, to avoid double bookings:
- Check in BedFlow that your rooms, photos, future reservations and calendar are correct.
- Stop changing rates or availability in Hostaway.
- Per channel (start with the smallest): disconnect it from Hostaway in the channel's extranet, connect it in BedFlow under Settings → Integrations, category Channels, and check it. Only then move on to the next one.
- Once all your channels are live in BedFlow, you can close your Hostaway account.
Do transferred bookings not have an invoice yet? Choose Create proforma on the booking.
No risk
- Read-only: we don't change anything in your Hostaway account.
- Your data remains yours: you download your invoices as PDF and UBL from Daily → Invoices, and your account data via Settings → Privacy.
- Need help? Would you rather switch over together? Book a free 30-minute migration call and we'll go through every step via screen-share. Switching costs you nothing.
