Migrating from Cubilis (Lighthouse)

Coming from Cubilis (nowadays Lighthouse)? Your existing reservations come to BedFlow via a reservation export (.xlsx) that you download from Cubilis yourself and send to us. We import them; you then check your calendar. We don't change anything in your Cubilis account itself.
Order matters: export first, then switch the channel
Booking.com allows one channel manager at a time. As soon as you choose our connection (Channex) in the Booking.com extranet, Cubilis stops sending rates and availability — see Connecting Booking.com. So download your export as close to the switchover as possible, so no bookings fall through the cracks.
Does a Booking.com reservation arrive a second time later via the new channel connection? No worries: we recognise it by its reservation code and merge it instead of creating a duplicate. Your calendar ends up correct either way.
Step 1 — Download the export in Cubilis
- Log in to Cubilis and open your reservation list.
- Choose the period. Want your history too (e.g. everything since 1 January, handy for your statistics)? Then pick that wider period.
- Download the list as an Excel file (.xlsx).
Step 2 — Send us the file
Mail the export to support@bedflow.eu with the name of your property. In the same mail, tell us which accommodation name from Cubilis belongs to which BedFlow room.
That list matters more than it seems: if you ever renamed a room (e.g. the export says "De Burgemeester" while your room is called "3580"), those rows can't be matched to a room and would be skipped. With your list we catch that — nothing more is needed from you.
Step 3 — We import, you check
- The import is safely repeatable: reading the same export twice — or a fresh export over the previous one later — creates no duplicates.
- Everything comes along: Booking.com reservations, bookings via your own website and manually entered reservations. Cancelled reservations come in as cancelled, so your statistics stay correct.
- No emails are sent to your guests and nothing is pushed to the channels — this is an import, not a booking.
As soon as we're done, you'll hear from us. Then open your Room overview and check a few upcoming reservations: right room, right dates, right price.
Frequently asked questions
Can my history (past reservations) come along too? Yes. Just choose an export period that covers your history (e.g. since 1 January) — the import also transfers past reservations.
What about reservations that arrive while the migration is running? Booking.com reservations that still arrive via the new channel connection after your export are recognised by their reservation code and merged. Bookings that only landed in Cubilis in the meantime can be caught with a second, fresh export — which can safely go over the first one.
Do I need to change anything in Cubilis? No. The export is read-only. You cancel your Cubilis subscription yourself once everything is in BedFlow and you've checked it.
