Coming soon — Pending approval at PriceLabs. BedFlow has applied to become a PMS partner of PriceLabs. Until PriceLabs has approved the integration, you cannot use it yet: you won't see the Pricing category or the PriceLabs tile on Settings → Integrations until then. This page describes how the integration works once it has been released.

PriceLabs is a dynamic pricing tool. Every day it calculates a rate per room based on demand, season, events and the rates of comparable properties in your area. With the integration, BedFlow takes over those rates automatically and passes them on to all your sales channels.

How it works

  1. BedFlow sends your rooms (or room types) to PriceLabs, with your current rates and your availability for the next two years, all your bookings since 2020 and your blocks.
  2. PriceLabs calculates the rates and sends them back to BedFlow: usually once a day, and immediately when you click sync in PriceLabs.
  3. BedFlow sets each rate as a daily rate in your calendar. From there, just like a rate you set yourself, it goes automatically to Booking.com, Airbnb, Expedia and your own booking widget.
  4. Every new, changed or cancelled booking goes back to PriceLabs within a few minutes, together with your new availability. That way PriceLabs always calculates with your real occupancy.

Only connect PriceLabs via BedFlow, not directly with Booking.com, Airbnb or a channel manager. BedFlow is your channel manager: a rate set on a channel outside BedFlow is overwritten by BedFlow at the next synchronisation, and PriceLabs would not see your bookings.

Setting up

  1. Create an account with PriceLabs (or use your existing account).
  2. In BedFlow, go to Settings → Integrations, category Pricing, and click Configure on the PriceLabs tile. (That category appears once the integration has been released.)
  3. Fill in the Email address of your PriceLabs account. PriceLabs links your rooms to the account with that address.
  4. Under Participating rooms (or Participating room types), choose which rooms take part. By default they all take part, including rooms you add later.
  5. Optionally, fill in the location of your property (Latitude (optional) and Longitude (optional)). PriceLabs uses it to compare you with similar properties nearby.
  6. Switch on Take over PriceLabs rates and click Save.

Within a few minutes, your rooms appear in PriceLabs. Set your base rate, minimum and maximum rate there and switch on synchronisation. From then on, the rates come in automatically.

Three choices BedFlow makes for you

1. The PriceLabs rate takes precedence

On a room priced by PriceLabs, BedFlow's multi-night discount (rate profile "Length of stay") is not applied on top in your booking widget. PriceLabs handles discounts for longer stays itself; otherwise you would be giving a discount twice.

If you still want your BedFlow discount on top of the PriceLabs rate, switch on BedFlow multi-night discount on top of the PriceLabs rate in the tile's window.

Note: if you were already sending length-of-stay discounts to Booking.com or Expedia as a separate rate, those remain in place there. If you no longer want an extra discount there either, switch off that rate profile under Management → Rates.

2. Only the rate, to begin with

For now, BedFlow only takes over the daily rate from PriceLabs. You continue to manage minimum stay and arrival or departure days in BedFlow, under Management → Rates → Restrictions, as you are used to.

3. Switching off only clears the PriceLabs rates

If you switch off the integration, or untick a room, only the rates that came from PriceLabs disappear. Your channels and your widget immediately get your own rates again: base rate, seasons and public holidays. Rates you set manually yourself remain in place.

Then also switch off synchronisation in PriceLabs, otherwise PriceLabs will keep trying to send rates.

Good to know

  • Your own manual rate wins. If you set a rate on a day yourself (under Management → Rates or in the calendar), that day is yours: PriceLabs does not overwrite that rate, not even if you switch off the integration. If you clear your manual rate, PriceLabs takes over the day again at the next synchronisation.
  • Room types. If your property groups rooms by room type in the booking widget, PriceLabs sets one rate per room type and it applies to every room of that type. Otherwise, each room is a separate listing in PriceLabs.
  • Blocked days. If a day is blocked (by you, by an external calendar or by a combination room), the rate makes no difference: the day cannot be booked anyway. When the day becomes available again, PriceLabs sets the correct rate at the next synchronisation.
  • Whole euros. PriceLabs receives your current rates rounded to whole euros. BedFlow takes over the rates that PriceLabs sends back to the cent.
  • Status. At the bottom of the window you can see when the latest rates from PriceLabs came in, when BedFlow last sent data to PriceLabs, and the latest error message if something went wrong.
